Board Treasurer

Our boardSouthwest Ohio Association for the Education of Young Children (SWOAEYC) is a State affiliate of the National Association for the Education of Young Children (NAEYC) serving 16 counties in southwest Ohio: Butler, Champaign, Clark, Clermont, Clinton, Darke, Fayette, Franklin, Green, Hamilton, Logan, Miami, Montgomery, Preble, Shelby, and Warren Counties.SWOAEYC promotes high-quality early learning for all children, birth through age 8, by connecting practice, policy, and research. We advance a diverse, dynamic early childhood profession and support all who care for, educate, and work on behalf of young children.Our core values are defined in the NAEYC Code of Ethical Conduct and are deeply rooted in the early childhood profession. PositionCharge: To maintain the financial integrity of Southwest Association for the Education of Young Children.Responsibilities:1.       Serve as financial officer and chair of the finance committee.2.       Ensure financial operations consistent with Southwest Ohio’s Financial Policies.3.       Collaborate with the provider of accounting services to maintain the fiscal health of the Association.4.       Collaborate with investment counselor(s) to monitor investments and make changes as necessary.5.       Reconcile monthly bank statements with account designation to allow the provider of accounting services to maintain Associations’ chart of accounts in an approved on-line accounting system.6.       Maintain receipts and documentation to match expenditures and reimbursements.7.       Review and oversee financial reports including the balance sheet, profit and loss statement and monthly finance activity report. Share with the Board of Directors on a regular basis.8.       Develop an annual budget with input from the finance committee and Board of Directors.9.       Pay creditors when bills are due.10.   Pay staff invoices with proper documentation within 30 days of receipt.11.   Pay reimbursement requests with accompanying documentation within 30 days of receipt.12.    Ensure Southwest Ohio AEYC maintains its tax exempt status.13.   Ensure state and federal taxes are filed in a timely manner.14.   Sign contracts and financial forms as necessary.15.   Provide an end of the year annual financial report to the Board of Directors.Responsibilities of the Financial Committee:1.       Advice the Board treasurer regarding financial oversight.2.       Monitor the implementation of Southwest Ohio AEYC’s financial policy.3.       Recommend financial policy changes as necessary.4.       Monitor budget development and implementation.5.       Be informed about assets and wealth management.6.       Advice the treasurer on the preparation of the annual financial review or audit.7.       Advice the treasurer on the prepared response to the annual financial review or audit.Responsibilities of the Provider of Accountant Services:1.       Maintain the Association’s accounting on an approved on-line platform.2.       Reconcile the monthly bank statement accounting for all revenue and expenditures3.       Record all financial transactions in a chart of accounts posted to and on-line ledger4.       Provide financial reports including the balance sheet, profit & loss statements and any other financial management reports to the treasurer with explanation as needed or required.5.       File the Association’s taxes.

Requirements1. Maintain active membership in NAEYC and SWOAEYC. 2. Attend all Board meetings. 3. Serve as a liaison between Southwest Ohio AEYC and the community to promote membership and lead as a member advancing the vision, mission and values of the Association 4. Volunteer for at least one Board sponsored activity per year. 5. Follow the Association’s By-laws and Policies and Procedures when conducting Board-related business. 6. Document the work of the office or committee. 7. Upon leaving office, pass on to the incoming new officer or committee chair the work of the office or chair. 8. Annually review the performance of the Board (including its composition, organization and responsibilities) and take steps to improve the Board’s performance. 9. Approve major policies and actions of the Association. 10. Participate in strategic planning. 11. Adhere to the NAEYC Statement of Commitment as a High-Performing, Inclusive organization 12. Share fiduciary responsibility to ensure Southwest Ohio AEYC has a viable financial structure that will support current needs and sustain long term viability. To this end, annually review and approve the Associations’ budget, financial goals and funding plans
